Virtual PD Guidelines
Project RISE Virtual Guidelines

Below are some important guidelines to follow for Virtual PD Sessions We are not changing protocols but rather accommodating our procedures to provide the best support possible to Project RISE educators during these challenging times.
- Approval for Professional Development workshops involving a fee must be done through E-form and prior to educator registering for the workshop. Please allow a minimum of 2 business days for the e-form request to be reviewed and approved/denied. Do not have teachers register before submitting an e-form request and receiving confirmation that your request has been approved. Requests submitted for PD sessions being held on the same day as the e-form submission will be denied. Project RISE does not have access to approve workshop registration for other department workshops/trainings. Please contact the corresponding department holding session regarding registration questions.
- Educators attending conferences that are 2 or more days are required to attend all training days. If the educator does not attend all days as required, he/she forfeits their stipend.
- If Project RISE pays for the registration fee and the educator does not attend training, either one day or all days of training, the District/Campus will be invoiced for registration fees.
- Trainings that are 3 hours long will be paid a $75 stipend; 6 hours will be paid $150. If the training is 6 hours long and the educator leaves the training early, the stipend will not be prorated. The educator must attend the entire training to be eligible to receive the stipend.
- If training is 2 days but is only 2 hours each day, the equivalent number of hours of training is 4 hours. The educator will be compensated for $75. If the training is 3 days, 2 hours each day, the equivalent number of hours is 6; therefore, the educator will receive a $150 stipend. Keep in mind that the multiple days of training should occur consecutively or within the same month. No carryover of hours will be allowed to another month.
- Trainings that occurred during the day in the month of May will not qualify for a stipend. Stipends will only be paid for trainings during the week after 4:00 PM or Saturday trainings.
- Any registration fees for Out of Town trainings/conferences will be paid by the district; the district will request reimbursement from Project RISE. Project RISE will reimburse the district only if E-form was submitted and approved by Project Director prior to the event.
- All educators attending PD trainings must sign in/out remotely. Incomplete sign in/out will not be paid. No exceptions.

Stipend Pay Requirements
- Attendance to the duration of the entire professional development opportunity is required. No partial attendance to a PD workshop is allowed.
- Participants must check-in and check out remotely for every PD session they attend (i.e. Project RISE or Region One)
- Remote check-in and check out must reflect 3 hours or 6 hours to receive stipend pay
- Participants who check-in 10 minutes after the session begins, will not be eligible for stipend pay
- Participants who fail to check out after the session, will not be eligible for stipend pay (Note: Remote check out is not available 15 minutes after the session end.)

Below are procedures that must be followed when attending workshops that involve registration fees. The participant should not register for training/conference until Grant Manager receives email approval from Project RISE personnel. In the event that a staff member attends a session without prior approval, Project RISE will not pay for registration fees.
- Submit a Professional Development Registration Fee Request:
- Region One Professional Development:
- Grant Manager must submit a request through the E‐form link
- No supporting documentation is needed.
- Please allow a minimum of 2 business days for approval/denial of the request
- Out of District Professional Development Registration Fee Request:
- Grant Manager must submit a request through the E‐form link
- Along with the E‐form request, Grant Manager will email supporting documentation (i.e. flier, conference information, registration fee) to Erika Rebeles at erebeles@esc1.net
- Supporting documentation must be submitted in a timely manner. If no supporting documentation is submitted, your request will be automatically denied.
- Please submit a request no later than 30 days prior to the conference date.
- Please allow a minimum of 2 business days for approval/denial of the request
Note: These requests should come directly from the campus Grant Manager after consulting with their respective Principal

Step 2
2. After Grant Manager submits E‐form request, the Grant Manager will receive a notification via email from Project RISE of the status of the request. If your request is approved, please follow the steps below:
Approved Professional Development for:- Region One Workshop
- Grant Manager will notify the educator to register for the workshop. In the status e‐mail, Grant Manager will receive a code to input under the method of payment/ purchase order. Grant Manager must inform the educator to register as soon as possible (within 2 business days of receiving the approval email).
- Out of District Workshop/Training/Conference
- Grant Manager will create a workshop (utilizing your District Professional Development System) with a description of the approved Professional Development.
Next Steps - Grant Manager will follow District protocols for opening up a Purchase Order and provide funding for conference registration fees.
- Grant Manager will ask the Educator(s) to login into the Professional Development System and register for PD Conference
- Educator(s) submit a copy of the Conference Certificate to Grant Manager.
- Grant Manager will sign‐in/override attendance in the Professional Development System.
- All steps must be followed in order for the educator to receive a stipend (If workshop/training meets stipend eligibility requirements)
- Grant Manager submits a copy of the following to their Business Office:
- Copy of Purchase Order from Conference Vendor
- Copy of Staff PD Certificate
- Business Office will submit a request for reimbursement for registration fees, along with a copy of the check/method of payment sent to the vendor for registration fees, and General Ledger.
- Grant Manager will create a workshop (utilizing your District Professional Development System) with a description of the approved Professional Development.

3. Cancellation Policy
Region One Professional Development- Grant Manager must provide written notification through Project RISE at least 3 business days in advance. Email can be sent to Erika Rebeles at erebeles@esc1.net
- If Grant Manager does not notify Project RISE of cancellation, the District will be invoiced for registration fees and/or no‐show fees.
